P2P Delivery

Implementing a purchase-to-pay solution is a large scale undertaking that is not to be underestimated. The benefits can be huge, but so too the challenges and risks which is why we outline a few pointers below that you absolutely have to get right as a pre-requisite for a successful P2P implementation.

Selection
Choosing the right provider is clearly one of the most critical steps. You are going to be working together for years to come, not just through the implementation process but over the lifetime of your initial contract and hopefully far beyond. That makes it essential that you aren’t simply selecting on the basis of cost and functionality, but also on the experience of the supplier in working with organisations of a similar scale, ambition and complexity.

Commitment
P2P systems touch on almost everyone in an organisation, which makes getting and retaining sponsorship from the very top of the organisation key to its success. Without a board level sponsor and clear directives from this level, driving adoption internally and getting people signed up to process change is made a much more difficult task.

Planning
There is a lot of data and an in-depth understanding of many different aspects of organisational structure that need to be brought to the table in delivering a P2P project. Your solution provider should be able to assist in this process, but don’t underestimate the requirements and make sure that you make good provision for gathering and agreeing critical process and data elements. This helps prevent problems such as the 42 iterations of a business model we once had to work through when implementing a P2P solution for a client that did not have a clear, consistent view of how the organisation was structured!

Management
Appoint a full time project manager for the duration of the project and create a project board that is representative – including stakeholders from finance, purchasing, IT, operations and end users – but not unwieldy in size. This is a balancing act between keeping it tight but involving key individuals; if you introduce them at a later stage you may have to start all over again. And make sure your project manager is empowered to take decisions, as decision-making by committee is a guaranteed route to project and scope creep.
